Position Summary

iCubate is seeking a full time Business Coordinator to perform administrative tasks in multiple areas of the company with the overall goal of smooth daily operations. The successful applicant must have sound administrative skills, a strong work ethic, a pleasant demeanor, an enthusiastic desire for success and a commitment to teamwork and common goals. This position reports to the CEO or the CEO's designee and will have administrative responsibility in a variety of areas including but not limited to general operations, business development, sales, marketing, shipping and receiving


Roles and responsibilities

Internal/External interface

  • Serve as initial customer interface through telephone, in-person, email, web and/or other type of contact
  • Delegate and document, within Quality Assurance system, incoming contacts/inquiries from customers, vendors, collaborators, contractors, consultants and advisors
  • Document regular and/or ad hoc meetings, within Quality Assurance system, including but not limited to staff, consultant, engineering, manufacturing and biochemistry
  • Procure and manage general and specialty office supplies
  • Assist in Document Control projects to support the Quality Assurance system

Shipping and Receiving

  • Perform receiving duties, including coordination with internal groups, within Quality Assurance system
  • Ship products to domestic and international destinations, including coordination with internal manufacturing group, external freight companies and recipients
  • Perform export control checks and documentation within Quality Assurance system


  • Coordinate scheduling, coordination and logistics of external conferences, trade shows and other marketing and scientific activities
  • Input, manage data and generate reports within customer relationship management database
  • Assist with maintenance of print and internet-based marketing materials
  • Other administrative duties as assigned


Educational and professional qualifications

  • Required: Bachelor's degree in business related field
  • Required: 3-4 years administrative experience
  • Required: proficiency in Microsoft Word, Excel, Powerpoint
  • Preferred: administrative experience in manufacturing, technical and/or scientific industries
  • Preferred: proficiency in inFlow, Copper/Prosperworks, Adobe

  • Organizational skills, including but not limited to multi-tasking, time management, adherence to set priorities, with the goal of increasing productivity for the overall company
  • Meticulous care for precision in record keeping and documentation
  • Aptitude to clearly communicate through written and oral means
  • Ability to work collaboratively with disparate internal groups including research and development, engineering, quality assurance, human resources, sales/marketing, accounting and management
  • Propensity to communicate effectively with external individuals and groups including consultants, contractors, advisors among others
  • Ability to complete tasks under specific timelines and deadlines
  • Disciplined approach to producing and organizing recurring deliverables on predesignated timelines
  • Willingness to occasionally work flexible days and hours to accommodate different time zones.
